TEAM ASSISTANT - GLOBAL MEDICAL

We are looking for a proactive and collaborative Team Assistant to join our Global Medical Department in Lund. In this role, you will be an essential part of ensuring smooth daily operations, including supporting the team, coordinating activities and events, and enabling the Chief Medical Officer (CMO) and the wider medical organization to work efficiently. You will report to the Chief Medical Officer (CMO).

The Global Medical Department provides strategic and functional medical and scientific support to the company. The function ensures that an appropriate benefit-risk balance for patients receiving the company's products is secured. Medical Affairs also manages the relationship with medical experts and other stakeholders within the field. Within Medical Information we provide responses to external unsolicited requests for information.

The Role:

As our Team Assistant, you will provide operational and administrative support across the entire Global Medical team. You will support the Chief Medical Officer in calendar management and meeting coordination. You will also coordinate events and external contacts to ensure seamless communication internally and externally. This is a dynamic role where your curiosity, flexibility, and structured mindset will make a real difference.

This position is based in Lund.

Responsibilities:

  • Support the CMO with calendar management, meeting coordination, and proactive planning

  • Provide day-to-day administrative and operational support to the Medical Department

  • Act as coordination point for internal and external activities, including events, meetings, and conferences

  • Arrange travel logistics such as flights and schedules for guests connected to our events

  • Manage and maintain relationships with external contacts, including physicians and communications agencies

  • Handle system-related tasks such as work in Veeva PromoMats and the Global Healthcare Compliance review system

  • Ensure smooth communication across the team

Candidate Profile:

We are looking for someone proactive and well-organized, who enjoys planning and coordinating in a fast-paced environment. You are flexible, open-minded, and curious, with a pragmatic approach to everyday challenges. You have a strong desire to learn, grow, and expand your skill set. Collaboration energizes you, and you take genuine pleasure in administrative work, coordination, and supporting the team.

We believe that the following is part of your previous experiences and skill set:

  • At least a few years of experience in an assistant, coordinator, or administrative role

  • Experience in activity or event coordination

  • Experience working in a global environment

  • Strong proficiency in MS Office, you should be a confident and advanced user

  • Fluency in spoken and written English is required

  • Pharma industry experience is a plus, but not required
